3K a year Department Alumni Association Responsibilities This position directly supports the Advancement Engagement team to create effective engagement events while ensuring that the internal and external stakeholders are engaged and informed.
This position will report to the Executive Director of Events.
Key responsibilities include data guest management, creation and management of event supplies and collateral, creation of proactive reports, on-site registration management, training and supporting event volunteers, leading venue and vendor research as well as event coordination.
The incumbent is expected to reinforce a collaborative and supportive relationship within and among the Advancement division.
Event Management Assist with planning, coordinating and implementing in-person and virtual Advancement and college/unit-specific events, including board meetings, annual donor recognition events, general alumni events, regional engagement and stewardship events and other advancement-related or internal events as assigned; assist with logistical arrangements such as equipment rental, video conferencing audio-visual and photography.
Coordinates production elements, event rentals, menu selection and on-site event support.
Researches and proposes event venue options which vary based on event needs.
Assists in the creation of event design boards and event proposals.
Stays ahead of event trends and implements trends as appropriate.
Perform other related duties as required and assigned.
Assists with the gathering of collateral for pre-event briefings.
Prepares RSVP lists, event thumbnail reports, briefing overview materials, event timelines/run of shows and other event materials that may be required for event briefings.
Adheres to department planning templates and protocols.
Updates planning templates when necessary.
Collaborates with Advancement Communications to develop event communication plans to ensure events are marketed where necessary.
Data Management Receive, record and track RSVPs pre and post event and seating assignments using the preferred Advancement database.
Stays ahead of event registration and check-in trends and adapts where necessary.
Tracks and monitors event expenses and revenues.
Protects confidential information.
Involved in the development of new Advancement engagement programs and adds value to existing programs.
Assists with the planning and coordination of Alumni Network and Student Alumni events.
Other duties as assigned.
Qualifications Bachelor's degree and two years of experience; or a high school diploma/equivalent and experience equal to six years.
(Note:
post-high school education can substitute for experience at the equivalent rate.
) Proficiency in the Microsoft Office products suite (Excel, Outlook, PowerPoint, Word), or equivalent software.
Experience with and knowledge of the principles and practices of event planning.
A self-starter, comfortable working independently.
Excellent communication skills to include effective writing and interpersonal skills.
Ability to prioritize, organize and perform multiple work assignments simultaneously and accurately in a detail-oriented environment.
Ability to handle confidential, sensitive information with the highest degree of professionalism.
A valid Florida or Georgia Driver's License, or the ability to obtain.

Preferred Qualifications Experience with Zoom webinar production preferred.
Event planning experience, organizing multiple events at various stages of planning.
Communication skills to reach a varied audience - donors, development officers, deans, the President's office.
