Florida Commerce - Office of Long-Term Resiliency Florida Commerce - Office of Long-Term Resiliency Tallahassee, FL Tallahassee, FL Full-time Full-time $25 - $30 an hour $25 - $30 an hour 6 days ago 6 days ago 6 days ago The OPS Administrative Assistant II serves as direct support to the Community Program Manager, and the Senior Management Analyst Supervisor, and the Senior Management Analyst II positions within the Office of Broadband, Division of Community Development.
This position also provides for administrative support for Office of Broadband staff members relative to office administration, appointment scheduling, correspondence preparation, and special assignments and projects.
This position performs administrative duties for the Office of Broadband.
Assigns other correspondence which requires as in-depth review, analysis, and technical knowledge to appropriate staff for response.
Maintains files and records of correspondence, documents, reports, and other matters for the Bureau.
Independently completes special assignments, research, and reports as requested by the supervisor or other professional staff.
Coordinates special projects or activities for the supervisor.
Completes travel requisitions, travel reimbursements and approvals for travel Purchasing Card payments for all Section members.
Completes purchasing actions for office supplies using the My Florida Marketplace system.
Responds and completes requests for Public Records.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Maintains staff monitoring schedule; tracks and updates monitoring records.
Responsible for completing and coordinating all personnel actions involving Office staff.
Maintains Community Program Manager and the Senior Management Analyst Supervisor's daily appointment calendars to ensure that all appointments and meetings are on schedule.
Sets up meetings as requested, identifies potential participants as appropriate and/or ensures that appropriate staff/personnel attend.
Assists with the preparation of a variety of routine correspondence, investigates subject matter and responds to individuals requesting information about programs operating in the Bureau.
Supports records management, including maintenance of all filing systems and the archiving of files for programs operated within Bureau.
Assists staff with notices to be published in the Florida Administrative Register and with other on-line submissions.
Performs other related duties as assigned by the supervisor.
Independently completes special assignments, research, and reports as requested.
Knowledge, Skills, and Abilities:
Working Knowledge of State purchasing procedures, including use of purchasing cards.
Skill in both written and verbal communication.
Ability to assign, prepare, track, review and proofread correspondence assignments.
Strong organization skills.
Skill in use of spreadsheet and word processing software, developing tracking documents and creating reports.
Ability to coordinate and manage activities with other staff.
Ability to demonstrate adaptability and flexibility.
Ability to establish effective working relationships.
Ability to conduct research and analysis and prepare summary documents.
Ability to work independently and manage multiple tasks.
Ability to plan meetings locally and around the state.
Ability to travel; and Ability to maintain strong self-discipline.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
