This position serves as the statewide administrative support for the Bureau of Monitoring and Quality Improvement, providing support to Headquarters, and North, Central, and South regions, supporting all staff within the Bureau.
DUTIES AND
Responsibilities:
The duties of this position include, but are not limited to:
Serves as the assistant to the Chief of Monitoring and Quality Improvement and Deputy Chief of Monitoring and Quality Improvement which has been delegated as an administrator with full authority.
Represents chief in matters as directed.
Assists chief with public and staff inquiries regarding all aspects of departmental issues.
Assists chief and deputy chief by making necessary travel arrangements (method of travel, hotel reservations, etc.
), for the chief and deputy chief.
Serves as statewide support for the Bureau of Monitoring and Quality Improvement.
Assists Headquarters, and North, Central, and South regional monitoring supervisors in the following areas:
Serves as Human Resources (HR) Liaison.
Assists with advertising positions in People First (PF).
Managing applicant pools and coordinating new hire interviews.
Responsible for completing the new hire process in HRES and scheduling and preparing background screenings for new hires.
Prepares other HR related items to include, but not to limited to, telework requests, dual employment, Family Medical Leave Act (FMLA) requests, promotions, separations, and classification actions, including position reclass requests.
Assists supervisors with disciplinary packets, if applicable.
Serves as Fiscal/Purchasing Liaison.
Coordinating routine office supply orders, specialized orders for event purposes, and completing purchases through MFMP.
Prepare purchase orders (PO) and blanket POs for each fiscal year, as needed.
Coordinating with Finance and Accounting (F&A) on all P-card related issues to include new P-cards, replacements, and ensuring charges are cleared accurately and timely in P-card Works.
Serves as the bureau's liaison and contact for questions related to travel and the completion of travel vouchers in the Statewide Travel Management System (STMS).
Completes fiscal-year end close out, as applicable.
Serves as General Services Liaison.
Manage cellular phones, audit cellular plan usage/utilization, and pay invoices for all staff timely.
Serves as records custodian and ensure records management.
Maintains office equipment and ensures equipment leases are up to date and processes monthly invoices timely.
Maintain and oversee the Bureau's property inventory, including transfer, surplus/disposal of property.
Track utilization and location of State vehicles.
Assist as requested with scheduled maintenance and repairs of vehicles.
Track and monitor Sun Pass (transponder) use, and add funds as needed.
Serves as Information Technology (IT) Liaison.
Responsible for completing Information Resource Requests (IRRs) and ordering IT supplies.
Completes network and email access and deletion forms.
Serves as MQI Training Coordinator and Talent, Leadership, and Culture (TLC) Liaison.
Ensure staff meets the annual mandatory training.
Responsible for updating SkillPro as needed or requested.
Responsible for maintaining the bureau's distribution lists (contacts/birthday) and updating the MQI website, including the Contact Us page.
Responsible for assisting with various bureau events throughout the year to include but not limited to the bureau's workpaper workshop, annual supervisor review preparation, and statewide meeting.
Duties will include securing travel arrangements, hotel accommodations, conference space, purchasing supplies (as needed), and assisting with organizing and planning for these events.
(Travel may be required to attend these events) Responsible for completing Certified Peer Reviewer training and serving as a peer reviewer as requested.
(Travel may be required to participate as a peer reviewer) Performs other related duties as assigned.
MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge, skills, and abilities, including utilization of equipment, required for the position:
Knowledge of office procedures and practices.
Skill in typing and data entry.
Knowledge of Microsoft Word, Microsoft Excel, and SAMAS.
Ability to operate general office equipment.
Ability to communicate effectively.
PREFERRED
Qualifications:
Preference will be given to candidates with knowledge and experience using the state's purchasing system, travel system, and state purchasing card processes.
Additional preferred qualifications include:
knowledge of recruitment and selection process in People First, experience with inventory, and experience with managing leases/contracts of equipment, services, or buildings.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
