Summary:
The Assistant Property Manager will work with the management team of our commercial property management department through the coordination of tenant requests and administration of management services.
PROPERTY MANAGEMENT
Responsibilities:
Assist Property Management in promoting, establishing and maintaining positive relations with the tenants and with the day-to-day operations of the property.
Monitor work orders to ensure all requests are responded to in a timely manner and follow-up with customers to ensure service requests are completed to their satisfaction.
Accounts Receivable:
Run monthly receivable reports for review and collection.
Make initial tenant contact for collection.
Assist in the preparation of monthly owner reports Maintain monthly rent roll for tenants and coordinate scheduled charges with accounting.
Process Tenant Billings:
Track tenant utility, work order and improvement charges and bill back on monthly basis Receive all property invoices, provide initial coding and property allocations, and give to the property manager for final review and approval.
Review monthly bills when received from the accounting department and code same Assist in tenant move-in/move-outs Perform routine cleaning inspections to ensure compliance with building and management standards.
Act as liaison between senior management and clientele to ensure favorable relations.
Assist in the solicitation of bids and prepare vendor service contracts.
Maintain Certificates of Insurance for vendors and tenants.
Lease Administration:
Prepare lease abstracts and have general understanding of landlord/tenant lease obligations.
Assist in preparation of annual budgets ADMINISTRATIVE

Answer and route phone calls as needed from tenants and vendors and/or dispatch personnel based on immediate needs.
Maintain office operations and service contracts.
Maintain and update tenant and vendor contact database.
Organize, compile and prepare reports for distribution.
Support other special requests or projects as requested.
Qualifications:
Satisfactory background investigation Satisfactory drug test Valid drivers license Ability to climb ladders - both step and extension.
Ability to lift up to 50 pounds Computer experience - Microsoft Word, Excel, Outlook, and Yardi Voyager a plus 2 to 3 years prior administrative experience in commercial real estate property management highly desirable 2 to 3 years of previous accounting, financial reporting and budgeting experience preferred.
Ability to achieve results without close supervision.
Ability to work efficiently and set priorities.
Ability to work independently and as part of a team.
Ability to communicate effectively and courteously in challenging situations.
