This position provides support to the Office of Child Welfare (OCW) Director of Child Welfare and Policy Practice and program staff.
Incumbent must be able to exercise independent judgement and confidentiality in completion of assigned responsibilities, special projects and other assignments from the OCW Practice Director and in working with program staff.
Compliance with Department policies and procedures in completion of all functions is required.

Administrative Functions:

Coordinate and arrange logistics for meetings and events, including finding and reserving meeting or event location, assisting with development of agendas, assisting with packing of materials to be transported or shipped to event or meeting and securing purchase orders in My Florida Market Place (MFMP) for venues as needed.

Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.

Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies in MFMP.

Work with program budget liaison to ensure proper budget codes are being utilized for purchases and expenses.

Travel Management

Prepare routine business correspondence.

Serve as HR liaison for OCW including but not limited to, creating position requisitions, monitoring and managing position applicants and documents, scheduling interviews, coordinating completion of required documents and screenings, submission of required documents and coordination of equipment setup.

Review and prepare agenda materials and assist with preparation of publications and other materials.

Effectively utilize advanced Microsoft Office and Smartsheet software features and functionality Maintain various databases.

Collaborate with other Project Team members and Project Managers.
