Accounting Specialist, Student Government

Department Student Government Responsibilities Manages departmental travel and P-card transactions and reconciliations for the Department of Student Engagement.
Responsible for accurate preparation of financial reports and reconciliation of accounting data.
Prepares, calculates, audits and submits Travel Authorizations, Travel Expense Reports, Payment Request Forms and Travel Purchase Orders in accordance with Florida State statutes, Federal grant regulations, University and departmental policies and procedures.
Review entries for new travel requests in Nole Central and updating travel forms as accounting processes are completed in OMNI.
Monitors and reviews department P-card Purchases.
As the FSU P-card proxy, enters coding information in Omni and prepares monthly reconciliations, obtaining required approval signatures.
May review Foundation travel expenses.
Prepares all account reconciliations for department ledgers in OMNI.
As part of the reconciliation process, assists with monitoring of the department's financial transactions such as requisitions, purchases orders, travel authorizations, and expense reports.
Notifies the department of any discrepancies that are noted and prepares correcting journal entries.
Obtains required approval signatures.
Acts as backup to departmental HR Manager for duties such as OMNI entries (ePAF, job offer, job posting, etc.
), new hire paperwork, completion of I-9's to ensure compliance in E-verify, in accordance with FSU policies, state and federal regulations.
Manages the logistics of travel reservations for department and student organization travel.
Acts as a liaison to revolve issues between travelers and vendors to ensure prompt payment.
Researches and provides pertinent information and status updates related to the trip and/or payment processing.
Maintains travel documents per FSU, state and federal record retention policies.
Serves as liaison for the department travel card issuance.
Assists department Budget Manager in the completion of budget updates, budget reconciliations and transaction verifications for projects as assigned.
Assists Budget Manager in the completion of duties including, but not limited to preparation and submission of FSU accounting forms (Proposal Transmittals, Journal Entry Transfers, Department Billings and Payment Requests); may also serve as a backup purchaser for entire department.
Provides feedback regarding short and long terms goals of the position and department.
Ensures work is being completed accurately and timely.
Provides fiscal over site for all procurement activities for the department.
May perform other duties and projects as assigned.
Qualifications Bachelor's degree and two years of experience; or a high school diploma or equivalent and experience equal to six years.

post high-school education and/or experience may substitute at a comparable rate.
) Ability to compile, review, and reconcile data for accuracy, completeness, and compliance.
Knowledge of electronic data processing as it applies to fiscal and accounting activities.
Knowledge of and ability to apply Generally Accepted Accounting Principles (GAAP).
Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
Ability to prioritize, organize and perform multiple work assignments simultaneously.
Ability to meet project deadlines.
